Device Fee Structure

Beginning SY 24-25, devices fees will not be assesed on a standard tiered fee structure.  Instead, students will receive disciplinary consequences based on the OCPS Conde of Conduct offense level.  

  • Level II Offense: device damage, or willful or malicious destruction of a device of its components valued at less than $100 in repair or replacement costs.
  • Level III Offense: device damage, or willful or malicious destruction of a device of its components valued at more than $100 in repair or replacement costs

The OCPS Code of Student Conduct (p. 5) states that the parent or guardian of a student may also have "accountability for loss or damage to OCPS property."  As such, in addition to disciplinary consequences, the School-Based Digital Learning team may choose to assess a Device Incident Fee based on the four-year depreciation schedule of the device (each year ends June 30.  The chart below details the depreciation schedule.

The device begins depreciating once it's in use. Devices depreciate along a normal schedule, depending upon the features of the device, the expected life cycle, and normal wear and tear. Normal wear and tear related to the full replacement value. These are the replacement values based on depreciation.

Teacher/Staff Responsibility for the repair/replacement cost

Per School Board Policy DID, staff members are responsible for replacement or repair cost of equipment due to negligence leading to loss, damage, or theft.  Submit a UDT ticket to [email protected], including serial # in subject line.  Cost of repair can be covered by school budget, otherwise work with Property Accounting if staff member is deemed responsible due to negligence.

If a staff member damages a student device, a quote can be obtained from UDT as to the repair cost of the device.  School leadership can determine whether the school is willing to pay the repair cost or proceed with actions through Property Accounting to hold the staff member responsible.

Accessory Fee Structure

The chart below details the accessory fee structure. The charger and protective cases for devices are considered accessories, along with any other item not core to the device but necessary for its full functionality and protection. When an accessory is damaged, the student is responsible for the actual cost up to a maximum of $20 for the first incident and the full cost of replacement for subsequent incidents.
